1. Payment
Bank transfer: Our General Terms and Conditions apply, which you accept with the booking order. The payment must be made together with the booking for the tours and hotel, at the latest within 14 days after you send the registration form. Please remit the total amount for the guided tours and/or hotel reservation deposit in Euro to the INTERPLAN account.
All bank charges must be covered by the participants directly.
Credit Card: Please indicate on the registration form your credit card organisation, credit card number, expiry date, CVC-number (last 3 digits on reverse of the card) and name of card holder. The total amount of the tours will be charged to your credit card at the next possible date. Your signature constitutes a declaration of consent for the conference office to pass on your credit card data to the hotel, as a guarantee of the hotel reservation. This means it is not necessary to make an advance payment to the hotel.
2. Signature
The signature on the registration form is essential, otherwise your bookings cannot be processed.
3. Cancellation of Guided Tours
Please note that for each offered tour a minimum and maximum of participants is fixed. INTERPLAN reserves the right to cancel any tour due to lack of participation. All fees already paid for such cancelled tours will be refunded to the participants.
Please note that cancellations done by the participant until 6th July 2008 will be charged with a administration fee of 50% of the registration fee. No refund will be made after the mentioned date.
4. Hotel Reservation (Deadline 23rd July 2009)
Hotel rooms can only be reserved upon receipt of a deposit (room rate for the 1st night) or a credit card number. All requests for hotel reservations and all deposits must be received by INTERPLAN not later than 23rd July 2009. If the requested hotel is fully booked, INTERPLAN reserves the right to arrange accommodation in a different hotel. For reservations with credit card details received later than the above mentioned date, all necessary efforts will be made to book a hotel room for you. Please be aware that a guarantee for your hotel preference and/or the rates indicated cannot be given by INTERPLAN. Upon receipt of a deposit, INTERPLAN will inform the hotel about the deposit paid. The deposit will be deducted from the hotel bill. Any further hotel expenses are to be paid directly at the hotel by the guests themselves. Each participant will receive an individual confirmation, giving the name and address of the hotel.
5. Cancellation of Hotel Reservations
Changes in reservations and cancellations must be requested in writing to INTERPLAN and NOT to the hotel. Upon receipt of the reservation confirmation, the guest automatically becomes the legally binding contract partner of the hotel. INTERPLAN acts exclusively as an agent for hotel reservations. If the guest cancels a reservation prior to 23rd July 2009 a cancellation fee of EUR 20,00 (incl. 19% VAT) per room reservation will be charged; in the name and for the account of INTERPLAN; any bank charges that may arise as a result of such a cancellation will be covered by the guest him/herself. If a pre-payment has already been made the amount paid will be refunded reduced by an administration fee of EUR 20,00. After 23rd July 2009 (Exceptions: Radisson SAS– prior to 03rd April 2009 and Grand Elysée – prior to 15th May 2009) , INTERPLAN and the hotel will certainly try to resell cancelled rooms but if this is not possible the cancellation fee of the hotel (up to 90 % of room rate – Exceptions: Radisson SAS may charge 90 % of the room rate of all booked nights) will be charged to you/your company in addition to the cancellation fee of INTERPLAN (EUR 20,00). Either the paid deposit will not be paid back or the given credit card may be charged directly by the hotel. Please also be aware that in case of a later arrival or an earlier departure than those reserved, (i.e. lost room nights) some hotels will charge for the total number of nights booked, if the rooms cannot be resold.
6. Liability
INTERPLAN AG acts as an agent for each supplier and therefore cannot be held responsible for any deficiency in services provided by the suppliers. Exceptions to this are deficiencies in services occurring from acts which are deliberate or arising from gross carelessness, which will make INTERPLAN AG liable - restricted to each single case. The extent of liability is based on the original value of the services booked according to INTERPLAN’s published offer.
